In short
- We only collect what we need to admit you to our hobby community and assign your division.
- Only our leadership team sees your application. No selling, no ads, no tracking, no cookies on this site.
- People, not algorithms, decide on your membership. If you are not accepted, we delete your data after six months at the latest, immediately on request.
1. Controller
Patrick Brosi, Alexanderstr. 21, 74189 Weinsberg, Germany · Email: terminal@airwt.de
AirWürttemberg is a non-commercial virtual airline – a leisure community for flight simulation, not affiliated with any real airline. The “application” on this site is a request for membership in a hobby community, not employment.
2. Hosting and server logs
This website runs on servers of Hetzner Online GmbH in a data centre in Germany (data processing agreement under Art. 28 GDPR). Each request automatically logs IP address, time, requested URL, status code, transferred bytes, referrer and browser identifier, for delivery, stability and protection against attacks (Art. 6(1)(f) GDPR). Deleted after 14 days.
All fonts, scripts and stylesheets are served from our own server. No Google Fonts, no third-party CDNs, no ad tracking, no analytics cookies.
3. Application form
What we ask for (Art. 6(1)(b) GDPR – steps taken at your request): first and last name, email address, year of birth, country, city, postal code for Germany (optional elsewhere), network (VATSIM/IVAO/offline), what you are looking for and your text about yourself.
Optional (Art. 6(1)(a) GDPR – consent, can be withdrawn at any time for the future): IVAO VID, referral.
Why: country and postal code determine your division. From your city and postal code we determine an approximate position (town centre) to see where our pilots fly and to invite you to meetups nearby. For this, the place name with postal code and country is sent once to the Nominatim service of the OpenStreetMap Foundation (Cambridge, United Kingdom) – without your name or email. The United Kingdom is covered by an EU adequacy decision.
What happens when you submit: a record with the status “open” is created in our internal member system (“Terminal”), visible only to our leadership team. No login is created yet. Our team is notified by email to our internal mailbox and in an internal, non-public channel on our Discord server. Both messages contain your application details (name, year of birth, email, city, division, network, Discord name, your text). To prevent abuse we also store the IP address, time and browser identifier of the submission.
You receive a personal status link with a random token – please don’t share it. It shows the progress of your application, your division and the name of your regional lead.
4. Discord and VATSIM connection
Discord: the button signs you in directly with Discord (Discord Netherlands BV for users in the EEA; parent company Discord Inc., USA). After your approval we receive your user ID, username, display name and avatar. With the “join servers” permission we add you to our Discord server and set your server nickname to your first and last name so the team can recognise you. No password, no messages, no write access to your account. If connecting fails, you can enter your username manually. Legal basis: consent (Art. 6(1)(a) GDPR). Transfers to the USA are covered by EU standard contractual clauses.
VATSIM: if you choose VATSIM as your network, you sign in via VATSIM Connect (VATSIM, Inc., USA). We receive your CID and name to confirm your details. Legal basis and transfer as for Discord.
5. Emails
We email you about your application: a confirmation with your status link, a one-time update if the review takes longer than twelve hours, and then either your Terminal invitation or a decline. Sent via our host’s mail server (Hetzner). Your address is used only for this and later for messages about your membership. No newsletter.
6. After you are accepted
If accepted, we send you a link to set your password. From then on the terms of our membership apply to Terminal and Dispatch. For the check flight and all further flights, our tracker records your flight (position, altitude, speed, landing, simulator state). The check flight is evaluated automatically against fixed, openly described criteria and can be repeated as often as you like; it unlocks aircraft types, it does not decide on your membership.
7. Retention
If accepted: for the duration of your membership. If declined: deleted no later than 6 months after we tell you. On withdrawal or request: without undue delay, within 30 days at the latest. Notifications in the internal Discord channel and mailbox are deleted together with the record.
8. Minors
Our community is for people aged 16 and over. For applicants under 16, consent is only valid with parental approval (Art. 8 GDPR); we may ask for proof.
9. Your rights
You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction (Art. 18), data portability (Art. 20), objection to processing based on legitimate interests (Art. 21) and withdrawal of consent (Art. 7(3)). An informal message to terminal@airwt.de is enough. You may also lodge a complaint with a supervisory authority, e.g. the LfDI Baden-Württemberg, Lautenschlagerstraße 20, 70173 Stuttgart, Germany.
Only people decide on applications – no profiling, no automated decision on your membership (Art. 22 GDPR).
10. Changes
We update this policy when our processing changes. The version published here applies.
